Why Is a Building Missing Data?

What “missing data” can look like in Cohabit

You might notice that:

  • There’s no Building Health Score yet, or it shows as in progress or not available

  • Parts of the Building Snapshot appear blank or show No data

  • The Expert Insights section is empty or hasn’t been unlocked yet

  • Some sections say No records found or No data yet

This doesn’t usually mean something is wrong with the building.
In most cases, it simply means Cohabit doesn’t yet have access to the records needed to show more.

In some cases, Cohabit may show limited baseline information sourced from independent data providers, even if full strata records are not yet available.


The most common reasons a building is missing data

1. No one has authorised access to records yet

Cohabit can only collect and analyse strata records once we have formal authority.

That authority usually comes from:

  • An owner connecting their lot in Cohabit, or

  • A buyer researching the building, which allows Cohabit to work with their conveyancer or solicitor to obtain access

If no owner has connected and no buyer has researched the building yet, Cohabit may not have permission to inspect any records.

Result:
The building can appear in search, but its profile, snapshot, and insights will look very limited.


2. The Health Score is still being generated

When someone searches for a building in Cohabit, a Building Health Score request is created automatically.

If the score hasn’t been completed yet, you may see:

  • An in-progress message

  • A placeholder instead of a score

This usually means Cohabit is still gathering or reviewing records.

Result:
Some parts of the Building Snapshot may also appear incomplete until the score is finalised.


3. Expert Insights haven’t been accessed yet

Expert Insights are optional and aren’t generated automatically.

If no one has accessed Expert Insights for the building yet:

  • The Expert Insights section will be empty

  • You won’t see expert commentary or deeper explanations

Result:
You’ll see building data, but not expert interpretation.


4. Records haven’t been provided yet (or are delayed)

Even when authority exists, delays can happen.

For example:

  • The strata manager may still be preparing documents

  • Key records (minutes, financials, insurance, compliance certificates) may not have been supplied yet

Until records are received and processed:

  • Some snapshot tiles may show No data

  • Health Scores or Expert Insights may remain in progress

Result:
The building looks incomplete, but Cohabit is still waiting on source information.


5. The building is new or has limited history

If a building:

  • Is newly registered

  • Has only recently started operating

  • Has held few meetings or completed little work

There may simply not be much historical information available yet.

Result:
The profile looks “thin” because the building itself has limited recorded history.


6. The data hasn’t been refreshed recently

You may notice:

  • An older Health Score date

  • Snapshot information that hasn’t changed for some time

If no new records have been provided and no new analysis has occurred, the information shown reflects the last time records were reviewed.

Result:
The data isn’t missing — it’s just point-in-time.


What you can do if a building looks empty

For buyers

  • Continue researching the building
    Health Scores are generated automatically as part of Research.

  • Access Expert Insights
    This unlocks deeper, plain-English explanation of risks, patterns, and context.

  • Speak with your conveyancer or solicitor
    They can advise on additional records, inspections, or timing if you’re under pressure (e.g. cooling-off).


For owners

  • Connect your lot in Cohabit
    This often unlocks access to more records.

  • Use Building Intelligence (if available)
    Ongoing updates help fill gaps over time as new records arrive.

  • Encourage other owners or the strata manager to engage
    More participation often leads to better coverage.


A simple way to think about it

If a building looks like it’s missing data, it’s usually because:

  • Authority hasn’t been granted yet

  • Records haven’t been provided

  • Analysis is still in progress

  • The building has limited history

  • Data availability is limited from all sources

It’s rarely a technical issue — it’s almost always about access, timing, or available records.


FAQs

Is something wrong with my building if it looks empty?
Not necessarily. It usually means Cohabit doesn’t yet have access to records, or analysis is still underway.

Can Cohabit find the data on its own?
No. Cohabit only uses records it’s properly authorised to inspect. We don’t scrape, guess, or estimate data.

Will my building show more information over time?
Yes. As owners connect, buyers research, records are provided, and Building Intelligence runs, more data and insights typically appear.

What if I need information urgently?
If you’re in a time-sensitive situation, speak with your conveyancer or solicitor as early as possible. They can advise on next steps.
