Owners who want to see the strata records Cohabit has access to for their building
Before you start
To view strata records, you should:
Have a Cohabit account
Have found your building in Cohabit
Ideally be connected to your lot (via Your apartments → Add new lot) so Cohabit recognises you as an owner
Records shown in Cohabit are based on strata records Cohabit has been authorised to inspect (for example, via owner lot connections, records inspections and letters of authority).
Step 1 – Open your building
Log in to Cohabit.
Click My Buildings.
Click the building you want to view.
You’ll land on that building’s Building Profile (Overview tab).

Step 2 – Go to the “Files” tab
At the top of the Building Profile, you’ll see tabs such as:
Overview
Building Snapshot
Files
Renewals & Compliance
Expert Report
Click the Files tab to open the strata records view.

This is where Cohabit lists the documents it has access to for your building.
Step 3 – Understand the filters (document type vs section vs expiry)
In the Files tab, you’ll usually see filters to help you narrow things down, such as:
Document type
Section
Expiry date (where relevant)
Document type
Document type refers to the kind of document it is, for example:
AGM / EGM minutes
Committee meeting minutes
Financial statements
Budgets
Insurance certificate of currency
Compliance certificates
Owner ledger or other specific record types
Use this when you know exactly what you’re looking for (e.g. “AGM minutes from last year” or “insurance certificate”).
Section
Section shows where the document is stored or grouped in Cohabit, not the legal section number of the Act.
For example, sections might relate to:
Financials
Meetings
Insurance
Compliance
Works & maintenance
Historical files
Use this when you want to see everything related to a topic, regardless of the exact document type.
Expiry date (where applicable)
For documents that expire or renew (like insurance or some compliance documents), you may be able to filter or sort by expiry date.
Use this to quickly see:
Which documents are current, and
Which ones might be out of date.

Step 4 – Preview or open a document
In the document list, you’ll see rows/cards for each file with basic details such as:
Document name
Document type
Section
Date / expiry (where relevant)
To view it:
Click on a document to preview it (or open it in a new window/tab, depending on the interface).
Use any on-screen controls to zoom, scroll or download (if downloads are supported in your plan).

If you’ve purchased an Expert Report, you may also see some of the same documents linked as attachments inside the expert insights, so you can easily jump between commentary and source records.
Step 5 – (Optional) Upload your own documents
If your building and role support owner uploads, you may see an option like “Upload file” or “Add document” in the Files area.
Use this if:
You have strata documents that are missing from the list, such as:
Recent minutes
Levy notices
Updated insurance or compliance documentation
You want to help ensure Cohabit (and your fellow owners, where permitted) have more complete records.
Click Upload / Add document.
Choose the file from your device.
Select the appropriate:
Document type (e.g. AGM minutes, insurance certificate), and
Section it belongs to (e.g. Meetings, Insurance, Compliance).
Confirm and submit.

Uploaded documents may be reviewed or processed before they appear in all the relevant places.
Where else do these records show up?
The same documents in Files may also be referenced in:
Your Building Snapshot (e.g. financial/compliance tiles based on those records)
Any Expert Report, where the expert links specific documents as attachments to their insights
Remember: everything you see in your Building Profile is only as accurate and current as the latest records Cohabit has been able to inspect.
FAQs
Q: I can’t see many documents in Files – is something wrong?
Not necessarily. It may mean:
Cohabit hasn’t yet been authorised to inspect more recent strata records, or
There hasn’t been a recent records inspection for your building.

Q: Can buyers see the same Files view?
No. Buyers have a simplified view focused on Health Scores, Snapshots and Expert Reports. The Files tab is part of the owner/strata experience and what’s shown in your Expert Report.
Q: Are these documents guaranteed complete?
No. They reflect what Cohabit has been given access to. There may be records the strata manager holds that haven’t been inspected yet. Use Files as a powerful starting point, and talk to your strata manager or committee if you think something is missing.
