Why is my building missing data? (Owners)

Learn why some sections of your building profile may look empty or incomplete.

Building data only appears when Cohabit receives official records

Cohabit cannot show information we haven’t been allowed to access.
Your building’s data reflects the most recent official strata records we’ve inspected or received.

If sections look empty or incomplete, here are the most common reasons why.


1. No records have been inspected yet

If no owner, buyer, or expert has ever triggered a records inspection, the building may show:

  • No Health Score

  • No Snapshot tiles or limited tiles

  • No compliance items

  • Few or no strata documents

  • No insurance or valuation data

This is very common for buildings with no owner connections yet.

How to fix it:

  • Connect your lot

  • Request a Health Score

  • Purchase an Expert Report


2. Cohabit has not yet received updated strata records

If Cohabit previously inspected the building but hasn’t received newer documents, sections may appear out of date.

This happens when:

  • Strata managers haven’t shared the latest minutes or certificates

  • A records inspection hasn’t been authorised recently

  • Building Intelligence isn’t enabled

  • Owners haven’t uploaded missing files

Cohabit can only show what has been officially provided.


3. Building Intelligence isn’t enabled

Without quarterly updates, your building profile stays static until new records are provided.

This may result in:

  • Outdated compliance info

  • Old insurance details

  • Missing minutes or financials

  • A Health Score that hasn’t refreshed in a long time

Building Intelligence ensures updates every 3 months.


4. Your lot connection is still pending

If your lot connection request hasn’t been approved yet:

  • Some owner-only data may not appear

  • Cohabit may not yet have authority to fetch records

  • Certain building updates may be restricted

Wait for Cohabit Admin to finalise the connection.


5. Compliance records haven’t been provided

If your strata manager hasn’t supplied compliance certificates, you may see “No data” for:

  • AFSS

  • Lift compliance

  • Pool compliance

  • Building valuation

This doesn’t mean your building is non-compliant — it means Cohabit hasn’t received the documents yet.


6. Insurance information is missing or incomplete

Missing or outdated insurance data typically means:

  • Cohabit hasn’t been given the latest certificate

  • Insurer information doesn’t match the building

  • No recent inspection has occurred

  • A renewal was completed but no documents were supplied


7. Older Expert Reports won’t update automatically

Expert Reports older than 3 months move into the “Past” category, and:

  • The building may have changed since the report

  • Data won’t update unless:

    • A new inspection happens, or

    • The building is on Building Intelligence


8. New files were uploaded but you didn’t notice

If new documents have been uploaded but you missed them, check the Files tab:

➡️ New or recently added documents show a small dot next to their name.

This makes it easy to see what’s been added since your last visit.


What you can do as an owner

You can help fill data gaps by:

  • Connecting your lot

  • Requesting a Health Score

  • Ordering an Expert Report

  • Uploading missing documents

  • Asking your strata manager to provide updated records

  • Enrolling your building in Cohabit Building Intelligence

Q: Why do only some sections show “No data”?
Each section relies on different records.
If Cohabit hasn’t received the relevant documents, that category remains empty.


Q: Can buyers trigger data updates?
Yes — buyer requests (Health Score or Expert Report) allow Cohabit to obtain records.
But ongoing updates depend on owners.


Q: Does missing data mean my building is badly managed?
No — it simply means Cohabit hasn’t received the necessary documents yet.
