What building data Cohabit stores

Cohabit stores building-related information such as:

  • Insurance policies

  • AFSS and compliance certificates

  • Building valuations

  • Meeting minutes (if uploaded)

  • Capital Works Fund forecasts

  • Expert Reports

  • Maintenance or recurring activities

  • Health Score data

  • Building condition indicators

This information is tied to the building, not your personal account.


How building documents are secured

All documents uploaded to Cohabit are:

  • Encrypted

  • Stored in secure cloud infrastructure

  • Accessible only to users connected to or shared into that building

  • Logged for access auditing

Documents cannot be indexed or accessed by external parties.


How Cohabit uses building information

Building data is used to:

  • Generate the Health Score

  • Provide compliance and risk insights

  • Support Expert Reviews

  • Present information to owners, buyers and committees

  • Create a complete building history

Cohabit does not use building data for marketing or external purposes.


Who can see building data

Full building access (verified owners & committee members)

These users can view all building documents and insights.

Strata managers

Can view the building if connected as the management company.

Shared access users (buyers, agents, advisors)

Can only view the profile when invited.

They cannot:

  • Download restricted files (if flagged)

  • Connect to the building

  • Change building data

Cohabit Experts

Access building documents only to prepare Insight Reports.

Cohabit Admin Team

May access building files for support or data verification.


How building data is updated

There are two ways:

1. Automatically (via API sync)

If the building’s strata software is integrated with Cohabit, updates from the strata manager's system sync automatically.

2. Manually (by Cohabit Admin)

If the building is not synced, updates require Cohabit Admin to upload or correct building information.

Owners cannot manually change:

  • Compliance data

  • Insurance data

  • Valuations

  • Financial information

They may upload documents, but Cohabit verifies and assigns them.

Cohabit’s team — users cannot change building data directly.

Can I request my building data be corrected?

Yes — use the Feedback Form or contact Support.

Are building documents private?

Yes — only users with access to that building can view them.
