After uploading a document, Strata Managers can edit:
Document name
Document section / category
These options are only available after the document has been saved.
During the upload process you cannot rename or reassign documents.
This must be done afterwards through the Files section.
How to rename a document
Step 1: Go to the Files tab
Open My Buildings.
Click the building you want to work on.
Open the Files (or Documents) tab.

Step 2: Open document options
Find the document you want to rename.
Click the ⋯ (three dots) next to it.
Select Edit or Rename.
Step 3: Update the name
Enter a clear, descriptive name (e.g.
2025 AFSS Certificate
Building Insurance Schedule – 2025/2026
Click Save.
The updated name will now appear in document lists and in future searches.
How to move a document to a different section
If a document was uploaded to the wrong section:
Step 1: Go to the Files tab
Same steps as above.
Step 2: Open the document options
Click the ⋯ next to the file.
Select Edit.
Step 3: Change the section
Find the Section / Category field.
Choose the correct category, such as:
Insurance
Compliance / Safety
Valuation
CWF Forecast
Meetings & Reports
Plans & Drawings
Other
Click Save.
Once updated, the document will appear in the correct panel in:
Building Snapshot
Compliance & Renewals
Any relevant feature in Building Intelligence
Why correct section assignment matters
Assigning the correct section ensures:
Your documents appear in the right place in the building dashboard
Renewals and compliance items are triggered correctly
The Health Score reflects accurate and up-to-date information
Cohabit can process data faster and more accurately
Misfiled documents can cause a building to look incomplete or incorrectly assessed.
FAQs
Why can’t I rename during upload?
Renaming is intentionally handled after upload so Cohabit can standardise file ingestion and ensure documents process correctly.
Can I delete documents?
Depending on your access level, yes. Look for the ⋯ → Delete option. Otherwise, Cohabit can remove documents on request.
What if I don’t know which section to choose?
Pick your best guess or use Other. Cohabit will categorise it correctly when processing the file.
