What are recurring building activities?

Recurring activities are tasks that happen on a schedule. Common examples include:

  • Monthly common area cleaning

  • Quarterly fire inspections

  • Annual lift servicing

  • Routine safety and maintenance checks

  • Waste, garden or pool service schedules

Tracking these inside Cohabit helps you:

How recurring activities impact the Health Score

Recurring activities directly influence the building’s Health Score.

Activities improve the score when:

  • Required tasks are scheduled

  • Tasks are completed on time

  • Maintenance routines are consistent

Activities lower the score when:

  • Important tasks are missing

  • Recurring obligations go overdue

  • Maintenance history is incomplete

This makes activity tracking one of the most effective ways to improve a building’s overall health.


How to add a recurring activity

Step 1: Open the building

  1. Go to Buildings in the left-hand menu.

  2. Click the building you want to update.

Step 2: Open Activities

  1. In the building menu, select Activities (or similar label, depending on your setup).

This shows all operational tasks for the building.


Step 3: Add a new recurring activity

  1. Click Add Activity or New recurring activity.

  2. Enter the activity details:

    • Activity name (e.g., “Quarterly Fire Inspection”)

    • Description (optional)

    • Responsible person (yourself or another team member)

  3. Set the frequency, such as:

    • Weekly

    • Monthly

    • Quarterly

    • Annually

  4. Choose the start date and due date rules.

  5. Click Save.

Cohabit will automatically create a timeline of future occurrences.


Viewing and managing activities

See upcoming and overdue activities

In the Activities tab, you can:

  • See upcoming tasks

  • Identify overdue work

  • Filter by frequency, status, or responsible person

  • Sort by due date

This helps you stay organised and quickly identify where action is needed.

Mark an activity as completed

  1. Click into the activity occurrence.

  2. Add notes or upload evidence (e.g., inspection reports, certifications).

  3. Click Mark as complete.

Once completed, the next scheduled occurrence will automatically be created.

Completing activities on time boosts the building’s Health Score.


Edit or stop a recurring activity

To change details or end the recurrence:

  1. Click the recurring activity series.

  2. Select Edit series to update frequency, name, or responsible person.

  3. Select End series or Delete if the recurrence is no longer needed.


Using activities to improve your building

Tracking activities helps you maintain:

  • Better operational consistency

  • Stronger compliance posture

  • Higher resident satisfaction

  • A healthier (and more accurate) Cohabit Health Score

Managers who keep activities up to date tend to see fewer overdue compliance items and better overall building performance.

Absolutely — you can attach documents like reports, photos or certificates for record-keeping.


What if my building has no activities yet?

This may result in an incomplete Health Score. You can add activities manually or upload documents for the Cohabit team to assist with setup.
